Florida Institute of Technology is currently searching for an Administrative Assistant III for the Department of Communications / Compliance. This is a full-time position. 

This is a shared position between the Chief of Staff/VP Communications office and the Compliance/Title IX office. The Administrative Assistant III provides administrative support to the Chief of Staff/VP for Communications and the Executive Director of Compliance/Title IX Coordinator.  In addition, the Administrative Assistant III prepares correspondence, manages reports, maintains files, coordinates schedules and supports data management projects that require confidentiality.  

Responsibilities include but are not limited to:

  • Performs general office support,  sort and distribute mail, copy and fax documents, complete filing, and manage supply inventory. 
  • Receives and responds to moderately complex correspondence following established procedures. Solves general problems for inquirers about department activities, policies or procedures. Answers telephone calls and/or greets visitors. Answers questions and provides information concerning department or refers inquirers to the appropriate person.
  • Collects, compiles, and analyzes moderately complex information for inclusion in reports and/or presentation materials.  Creates and produces a variety of moderately complex documents, reports, or proposals for the department. Prepares charts, graphs and/or tables as necessary. 
  • Performs data entry and maintains record keeping using departmental databases or spreadsheets. Inputs information such as mailing lists, reports, faculty data, etc. into databases or spreadsheets. Verifies information for accuracy.
  • Assist with budget and/or expense reports. Monitors and records department invoices and expenses. Limited authority to approve requisitions or purchases. Reconciles purchasing cards. 
  • Prioritizes, schedules, arranges, and maintains appointments, meetings, and calendars. Makes travel accommodations. 
  • May handle one or more special projects. May work with or serve on a variety of committees; collect agenda items, prepare and disseminate agendas; prepare minutes for committee or department meetings.  
  • Composes memos and transcribes notes. Draft and modify moderately complex correspondence; proof and edit documents and presentations.  
  • May work with Compliance Training Specialist. Assist with preparing relevant reports as needed. 
  • Assist in review and updating of policy/compliance/risk websites.

Education/Skills required:

  • Bachelor's degree (or equivalent knowledge obtained through a combination of education, training, and experience
  • Minimum 2-5 years of relevant work experience in area of expertise

* Official transcript of all collegiate work must be sent directly from the attended institution to the Human Resources Office prior to the first day of employment.
