Administrative Assistant I (Office of Graduate Programs)

The Florida Institute of Technology is currently searching for an Administrative Assistant I for the Office of Graduate Programs. This is a full-time position.

Assist students, academic units and the public on a wide range of topics, by correspondence, email, telephone and in person. Advise and assist graduate students regarding thesis/dissertation formatting and electronic submittal system. Review a variety of university forms for completion, accuracy and compliance with graduate policies. Maintain office files and spreadsheets. Update Graduate Programs calendars. Perform duties as directed by the Director of Graduate Programs.


Responsibilities include but are not limited to:

  • Prepare and announce Oral Exam/Defense Announcements, including checking for establishment of committee and GPA eligibility.
  • Conduct thesis/dissertation format checks as well as verify and approve documents via Electronic Thesis and Dissertation (ETD) submittal system.
  • Answer telephone calls and greet visitors
  • Review various forms for completion and accuracy (Transfer course requests, academic permission forms, examination reports, establishment of committees, doctoral candidacy applications, waiver of thesis/dissertation registration etc.).
  • Assist with academic standing review process and prepare student appeal packets for academic review.
  • Prepare academic standing correspondence after grade change or appeal decision and communicate to student, Registrar's Office, and academic unit.
  • Update department planning calendars.
  • Assist with registrations and preparations for the Teaching Assistant Seminar (Spring and Fall terms)
  • Maintain files (create file, file documents, archive)
  • Deliver documents to main campus office and academmic units


Education/Skills required:

  • High school diploma; Bachelor’s degree is preferred.
  • Minimum 2-5 years of experience required in area of expertise.
