Administrative Assistant I (Scott Center)

Florida Institute of Technology is currently searching for an Administrative Assistant I for the Scott Center for Autism Treatment.  This is a full-time position. 

The Administrative Assistant I position at The Scott Center is responsible for the coordination of new clients seeking an evaluation by ensuring all patient's documentation and insurance's eligibility/authorizations are in order prior to scheduling appointments. This position works closely with the Director of Autism Services and Training and the Clinical Operations Associate to consistently update client wait lists and information in the EMR system in order to admit new service clients in an effective and efficient manner. Assists with other daily office functions as needed.


Responsibilities include but are not limited to:

  • Contacts insurance companies to obtain eligibility and authorization information for diagnostic, early intervention (for testing), severe behavior, and feeding clients. Follows up with families on their status and organizes intake paperwork and other required documents.
  • Responsible for Scheduling intake, testing, and feedback appointments with clinical staff across multiple calendars. Tracks and compiles metrics on patient numbers and other data to assist with clinic flow and forecasting.
  • Communicates with clients for documentation requests and updates their status on the Diagnostic Wait List; provides weekly updates to Clinical Director and keeps up with insurance mandates and other work-flow related checkpoints.
  • Responsible for updating EMR system to reflect the most accurate information for each client, including each point of communication. Maintains accurate and organized paper and electronic filing system per HIPAA requirements
  • Ensures scholarship funds are utilized in a timely and consistent manner each fiscal year and updating Scholarship Tracking Sheet for reporting purposes. Assists the Clinical Operations Associate to maintain wait-lists for prospective clients seeking Early Intervention, Feeding, and Severe Behavior services.
  • Participates in educational activities, outreach events and weekly staff meetings. Assists with covering the front desks and other duties as needed.

Education/Skills required:

  • High School diploma; AA degree preferred
  • Minimum 0-2 years of relevant work experience required

* Official transcript of all collegiate work must be sent directly from the attended institution to the Human Resources Office prior to the first day of employment. (NACES). Required certification or license must be uploaded when submitting application for employment.
