Florida Institute of Technology is currently searching for a Projects Administrator for Facilities Operations.  This position is full-time. 

Facilities Operations is responsible for construction, operations and maintenance of all facilities located throughout campus and at off-campus sites. This position is an administrative role responsible for processing the various documents associated with work orders.  This includes tracking and reconciling all renovations and new construction projects to ensure project costs remain within established budgets.  

Knowledge of Ellucian Banner is preferred. 
Working hours are Monday-Friday 8:00am-5:00pm with occasional overtime.

 

Responsibilities include but are not limited to:

  • Receive incoming work order requests and process the required paperwork throughout the various stages of approval.
  • Monitor and reconcile all renovation project costs and major million + construction to ensure projects remain in established budgets. 
  • Maintain the work order log and process daily updates to include project status, budget, current cost to date, accounting string charged, proper approvals obtained, etc. Maintain deferred work order log for pended projects.
  • Prepare and maintain monthly R&R Summary and special reports to Vice President and Business Services. Prepare quarterly completed project list; fiscal year end construction in progress log to Business Services.
  • Facilitate the Bi-weekly project coordination meetings to obtain status updates from project manager.
  • Process purchase requisitions, journal vouchers, and receivers as related to work orders using the Banner system.
  • Serve as back-up to the Central Control Coordinator in answering the main Facilities phone line, to include completing service requests within Infrastructure.net as needed. Assist with Central Control Coordinator duties during absence.
  • Hurricane Preparedness and Cleanup
  • Additional duties as assigned.

Education/Skills required:

  • High School diploma or GED (some college preferred
  • Minimum 2-5 years of experience in an administrative role
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Accounting experience (preferred)
  • State of Florida driver's license preferred
