Administrative Assistant II (Evans Library)

Florida Institute of Technology is currently searching for an Administrative Assistant II for the Evans Library.  This is a full-time position.

The Administrative Assistant II assists with budget management; operations; and manages the upkeep, maintenance, and improvement of the physical facility.  This position requires advanced skills in organization and planning, in-depth knowledge of Library administrative operations and objectives, and general knowledge of the goals, objectives, and operations of each Library department.  The Administrative Assistant II works directly with the Director of Enabling Infrastructure and the Dean of Libraries and supports all library personnel.  The position assists with implementing Library events and displays.


• Monitor library expenses and donations through Banner and p-works, which includes creating and processing requisitions, receivers, and purchase orders.
• Conduct ongoing library facility inspection and process facilities service requests.  Follow the service request work flow to ensure they are completed satisfactorily and in a timely manner.
• Manage office supply inventory - fill staff office supply requests and maintain inventory levels.
• Interact with university accounts payable and purchasing departments to expedite processes, research questions, resolve discrepancies, correct errors, and clarify practices.
• Enter financial transactions in library expenditures report on a daily basis and prepare reconciliation report as requested.
• Manage the library donor database including creating thank you letters to donors.
• Act as delegate for Travel and Expense Management for all library personnel.  Make travel arrangements for library personnel.
• Assist with the coordination and preparation of Library events and displays as assigned.
• Train library student employees on time-sheet submission and monitor work study time sheets.
• Communicate with vendors and contractors to expedite processes and research questions.


• Associate degree or equivalent
• Minimum 2 – 5 years of experience in required area of expertise
• Strong interpersonal skills
• Keen attention to detail
• Strong working knowledge of office procedures and Microsoft Office, particularly Excel
• Knowledge of Banner
