Florida Institute of Technology is currently searching for an Administrative Assistant II for both the COES and HIAI departments.  This position is full-time. 

Assists students with paperwork and assists with clerical duties for the College of Engineering and Science. Duties include support to students and faculty for the NGLU Program and for the KEEN effort at HIAI.

 

Responsibilities include but are not limited to:

  • Assists with students' paperwork filing, record keeping, and provides information concerning department or university procedures to students or refers the students to the appropriate offices
  • Makes travel accommodations
  • Monitors enrollments, performs data entry and maintains recording-keeping using departmental databases or spreadsheets
  • Inputs information such as mailing lists, budget reports, faculty data, etc. into databases or spreadsheets. Verifies information for accuracy
  • Receives and responds to moderately complex correspondence following established procedures. Solves general problems for customers about department.
  • Activities, policies or procedures. Answers telephone calls or greets visitors. Answers questions and provides information concerning department or refers the customer to the appropriate person
  • Performs general office support such as sorting/distribution of mail, copying and faxing documents, filing, and supply inventory.
  • Composes memos and transcribes notes. Drafts and modifies moderately complex documents, reports, or proposals for the department.
  • Prepares charts, graphs and/or tables as necessary
  • Assists with expense/reports. Prioritizes, schedules, arranges and maintains appointments, meetings, and Calendars.
  • May handle one or more projects. May work with or serve on a variety of committees, collect agenda items, prepare and disseminate agendas, prepare minutes
  • Other office support/duties as needed by this position.

Education/Skills required:

  • Associate's degree required
  • Minimum 2-5 years of experience required in area of expertise

* Official transcripts of all collegiate work must be sent directly from the attended institution to the Human Resources Office prior to the first day of employment.
